Onna connects directly with Dropbox's API to collect all files stored in native format as well as Dropbox Paper.
All files are synced, including, but not limited to:
Related Metadata (create date, folder path, and revision id)
Onna Sync Modes
We currently support two syncing modes - one-time and auto.
One-time is a one-way sync that collects information only once.
Auto-sync means that Onna will perform a full sync first and will keep the data source and Onna in mirrored sync.*
The synchronization scope currently encompasses entire Dropbox accounts or recursive sync of any selected root folder or subfolder.
*Please note that permanently deleting a file from Dropbox (without moving it to the Trash folder) will not delete it from from Onna due to a limitation in Dropbox's API.
Yes, you can export data and metadata in eDiscovery ready format. Load files are available in a dat file, CSV, or custom text file. This is only available for Dropbox Business.
How to Guide
Click on "Add source" and select Dropbox. Then click onto the Dropbox tile.
First, name your source. This is the source's title on the platform. If you're naming for eDiscovery purposes a common convention is to name it after the company or account individual.
If you would like to select a one-time sync mode and/or select individual folders and subfolders to collect (rather than the default, "Auto-sync all folders), click on "Configure." Next you'll be taken to an authorization page.
Onna uses OAuth to connect to Dropbox accounts. Below is the two-step process you have to take to authorize Onna to collect from the account.
First you'll have to add user credentials and give permissions to Onna to access the account. Note: If you have your personal Dropbox account linked to your team's Dropbox account, it will prompt you to chose one or the other to sync. Otherwise, you will see the screen below:
Once you've signed in, you'll be taken back to Onna to configure your source. If you selected 'Done' from the first screen, your sync will begin. If you selected, "Configure," then you will be taken to a screen like the one below with the option to choose folders and subfolders, as well as sync mode.
By default all folders are selected to sync. The total number of sub level folders available to sync for each folder will be to the right of the folder name. You can choose to 'Deselect all' folders on the top right side and individual folders can now be selected by using the checkbox. Clicking on the arrow to the left of the folder name will display the current folder structure. Individual top level and sublevel folders can be selected by using the checkbox.
If subfolders exist within a top level folder you will have the option to 'Remove Children'. Removing children will deselect all subfolders that exist within the top level folder.
On this page you can also choose whether to sync future top level folders created in the future if your source is in auto-sync. New folders and any future subfolders belonging to the selected folder that are added to Dropbox will automatically be added to Onna.
After you have selected the folders that you're looking to sync & the sync mode, click 'Done'. This integration will now appear in your Sources page and within your workspace if you've added it there.
Onna will begin to interact with Dropbox's API and begin to sync files. Files will be processed and indexed so that all is searchable. A source will indicate that it's syncing during this process. When you click on the Dropbox source, you will start seeing results being populated.
From this screen, you are able to filter results by date range, categories, and/or extensions using the menu on the left.
